Getting Started with Outlook Calendar

Outlook is much more than an email client — its built-in Calendar feature is one of the most powerful scheduling tools available, and it's completely free with your Microsoft account. Whether you're managing personal appointments or coordinating meetings with colleagues, Outlook Calendar keeps everything in one place.

How to Access Outlook Calendar

You can access Outlook Calendar in two main ways:

  • On the web: Go to outlook.live.com and click the calendar icon in the left sidebar.
  • Desktop app: Open Outlook on your PC or Mac and click Calendar at the bottom of the navigation panel.
  • Mobile: The Outlook app (iOS and Android) includes a full-featured calendar view.

Creating a New Event or Appointment

  1. Click the "New Event" button (or simply click on a time slot in the calendar view).
  2. Enter the event title, date, start time, and end time.
  3. Add a location — either a physical address or a Microsoft Teams meeting link.
  4. Use the description field to add notes, agendas, or relevant links.
  5. Set a reminder — choose from 5 minutes to 1 week in advance.
  6. Click Save. The event will appear on your calendar immediately.

Inviting Others to a Meeting

One of Outlook Calendar's most useful features is the ability to invite other people to events. After entering the event details, type the names or email addresses of your guests in the "Invite attendees" field. Outlook will automatically check their availability if they're in the same organization. Invitees receive an email with options to Accept, Tentatively Accept, or Decline.
