What Is OneDrive?
Microsoft OneDrive is a cloud storage service that lets you save files online and access them from any device. Think of it as a virtual hard drive that lives in the cloud. Whether you want to back up important documents, share photos with friends, or collaborate on files with colleagues, OneDrive makes it seamless and secure.
Every Microsoft account comes with 5 GB of free OneDrive storage. If you need more, Microsoft 365 subscriptions include 1 TB of storage per user.
How to Access OneDrive
- Web browser: Visit onedrive.live.com and sign in with your Microsoft account.
- Windows: OneDrive is built into Windows 10 and 11. Look for the cloud icon in your taskbar system tray.
- Mac: Download the OneDrive app from the Mac App Store.
- Mobile: Install the OneDrive app from the App Store (iOS) or Google Play (Android).
Uploading Files and Folders
Method 1: Drag and Drop (Web)
- Open OneDrive in your browser.
- Navigate to the folder where you want to upload.
- Drag files from your computer directly into the browser window.
Method 2: Using the Desktop App
When OneDrive is installed and signed in on your computer, it creates a OneDrive folder on your device. Anything you place in this folder is automatically synced to the cloud. Simply copy or move files into that folder — no manual uploading required.
Organizing Your Files
Good organization makes OneDrive much more useful. Here are some best practices:
- Create named folders by category (Documents, Photos, Work Projects, etc.).
- Use the star/favorite feature on files you access frequently.
- Take advantage of OneDrive's built-in search bar to find files instantly.
- Right-click any file to rename, move, copy, or delete it.
Sharing Files with Others
Sharing files from OneDrive is one of its most powerful features. You don't need to send large email attachments — just share a link instead.
- Right-click a file or folder and select "Share."
- Choose whether the link should be viewable by anyone with the link or only specific people.
- Optionally set permissions: view only, or allow editing.
- Optionally set an expiration date for the link.
- Copy the link or send it directly via email from the dialog box.
OneDrive and Microsoft Office Integration
OneDrive integrates deeply with Word, Excel, and PowerPoint. Files saved to OneDrive can be opened and edited in the browser using the free Office Online apps, or in the full desktop apps if you have Microsoft 365. Multiple people can work on the same document simultaneously — changes appear in real time for all collaborators.
Automatic Camera Backup on Mobile
The OneDrive mobile app can automatically back up photos and videos from your phone's camera roll. Enable this in Settings → Camera upload. Your photos will be safely stored in the cloud, freeing up space on your device and protecting you against accidental data loss.
Managing Your Storage
To check how much storage you've used, visit onedrive.live.com and look at the storage indicator at the bottom of the left sidebar. To free up space, look through your Recycle Bin (deleted files still count against your quota until permanently removed) and delete large files you no longer need.
OneDrive is one of the easiest ways to keep your files safe, accessible, and shareable. Set it up once and it largely runs itself in the background.
